How to log LinkedIn messages in HubSpot: free, one-click and automatic options
Most sales conversations now start in LinkedIn messages, and none of them reach HubSpot by themselves. There's a free way built into HubSpot, and tools that do it for you. They differ a lot in what they read.
Short answer
HubSpot has a free Log LinkedIn message activity on every plan. Open the contact in HubSpot, choose the LinkedIn message activity, paste the conversation, set the date and save. It appears on the contact's timeline.
To skip the copying, use a tool that logs the conversation you have open in one click. Be careful with tools that sync your whole LinkedIn inbox in the background: LinkedIn's User Agreement bans bots and other automated access to the site, and that's how accounts get restricted.
The free way: HubSpot's "Log LinkedIn message" activity
HubSpot's help page lists it as available on all products and plans, including the free CRM.
- On LinkedIn, open the conversation and copy the messages you want to keep.
- In HubSpot, open the contact. Among the activity buttons at the top of the record, click the LinkedIn message icon. In the mobile app it's under Log activity → LinkedIn message.
- Paste the conversation, set the date and time it happened, and add any company or deal it belongs to.
- Save. The message shows on the timeline as a LinkedIn message, and in reports on logged activities.
It's accurate and costs nothing, but it takes a minute per conversation, so in practice only the important ones get logged.
What a useful log looks like
- Keep who said what. Paste with names, not just their reply.
- One entry per exchange, not one per message, so the timeline stays readable.
- Use the real date of the conversation, not today's, or your reports will be off.
- Add the next step as a task ("Send pricing on Friday"), so it doesn't live only in LinkedIn.
For developers: the Communications API
HubSpot stores LinkedIn messages as communications, the same object it uses for WhatsApp and SMS. A communication with hs_communication_channel_type set to LINKEDIN_MESSAGE, associated with the contact, appears on the timeline exactly like one logged by hand. That's how tools log messages. The hard part isn't HubSpot, it's reading LinkedIn: LinkedIn has no public API for members' messages.
Three kinds of tools, and what each one reads
| How it works | What it reads on LinkedIn | Account risk |
|---|---|---|
| One click on a conversation you have open | Only that conversation, when you click | Lowest: it reads what's already on your screen |
| Automatic, for open conversations | Conversations you open yourself, as new messages arrive | Low: nothing is opened or fetched for you |
| Background inbox sync | Your whole inbox, including conversations you never open, often by calling LinkedIn's internal services | Highest: this is the automated access LinkedIn's terms prohibit |
Background sync is the most convenient, and it catches messages you only answered on your phone. It's also what users report losing their accounts over: one review of a sync tool on the Chrome Web Store says the account was suspended "for using software that automates activity". If LinkedIn is your main sales channel, losing the account costs more than any time saved.
InMail, connection requests and group messages
HubSpot users have asked for automatic logging of InMail and connection requests on HubSpot's ideas forum for years. Neither HubSpot nor LinkedIn does it. The manual activity works for anything you can copy and paste, so it covers InMail and connection-request notes too.
How SyncToCRM logs messages
- Every open conversation, in the chat box or on the Messaging page, gets a Log button. One click saves it to the contact's timeline as a LinkedIn message.
- It remembers what it has saved, so clicking again later adds only new messages.
- With Log open conversations automatically switched on (it's off until you choose), new messages in conversations you have open are saved a few seconds after they stop coming, for people already in HubSpot.
- It never opens conversations, never loads your inbox in the background and never fetches anything from LinkedIn. The trade-off: a conversation you only answer on your phone isn't logged until you open it on your computer.
Questions
Can HubSpot log LinkedIn messages automatically?
Not by itself. HubSpot has a manual "Log LinkedIn message" activity on all plans. Automatic logging needs a tool that reads LinkedIn's messaging page in your browser.
Is the LinkedIn message activity available on HubSpot's free CRM?
Yes. HubSpot lists manual activity logging, including LinkedIn messages, on all products and plans.
Can syncing LinkedIn messages get my account banned?
Tools that read your whole inbox in the background use the kind of automated access LinkedIn's User Agreement prohibits, and some users report restrictions. Logging only the conversation you have open, when you choose, is the cautious option. No tool can promise LinkedIn won't act.
Does HubSpot's Sales Navigator integration log LinkedIn messages?
The Sales Navigator card doesn't log conversations. LinkedIn CRM Sync logs Sales Navigator activity, and needs Sales Navigator Advanced Plus and a Sales Hub Professional or Enterprise seat.
How do I avoid logging the same message twice?
By hand, log each exchange once with its real date. Tools should remember what they've logged; check that yours adds only new messages when you log a conversation again.
