HubSpot's Sales Navigator integration and CRM Sync: requirements, limits and a cheaper route

HubSpot has two LinkedIn Sales Navigator apps, and articles disagree on which plans they need. HubSpot's own help pages settle it. Here is what each app does, who it suits, and what to do if you don't have the plans.

Short answer

Both of HubSpot's Sales Navigator apps need a Sales Hub Professional or Enterprise seat and Sales Navigator Advanced Plus. Core and Advanced don't qualify.

  • LinkedIn Sales Navigator (the card) shows LinkedIn details on HubSpot records. It can't import contacts.
  • LinkedIn CRM Sync syncs contacts, companies and deals with Sales Navigator, logs Sales Navigator activity, and can create HubSpot contacts from Sales Navigator.

Without those plans, add Sales Navigator leads to HubSpot from the lead page: by hand, or with an extension that works there.

What the Sales Navigator app does, and doesn't

Once connected, a Sales Navigator card appears on the right of HubSpot contact and company records. From it you can see the person's LinkedIn details, save them as a lead in Sales Navigator and send InMail, without leaving HubSpot.

It works in one direction: it adds LinkedIn context to people already in HubSpot. It doesn't create contacts, doesn't sync fields into HubSpot, and doesn't help when you're on LinkedIn and want to save someone. That's the main reason for its rating: in reviews, users point to the Advanced Plus requirement, lost access, and records matched to the wrong LinkedIn person.

What LinkedIn CRM Sync does, and its limits

CRM Sync is the fuller integration. HubSpot contacts, companies and deals appear in Sales Navigator as leads, accounts and opportunities, Sales Navigator activity is logged to HubSpot, and each user can create and update HubSpot contacts from Sales Navigator.

Limits from HubSpot's help page:

  • Only new and updated data syncs after you switch it on. For a full resync you reinstall.
  • The field mapping can't be edited.
  • One HubSpot account per Sales Navigator environment.

It only covers Sales Navigator. People you find on regular LinkedIn profiles still need another route.

Who should use HubSpot's own route

Use it if your sales team already has Sales Hub Professional or Enterprise seats and Sales Navigator Advanced Plus. The apps cost nothing extra on top, CRM Sync keeps Sales Navigator and HubSpot aligned, and it's supported by both companies.

Don't buy the plans for it if all you need is to get people from LinkedIn into HubSpot. Advanced Plus is LinkedIn's top Sales Navigator tier and Sales Hub Professional is a large step up from Starter. A team on HubSpot's free or Starter plans, or on Sales Navigator Core or Advanced, gets nothing from either app.

Getting Sales Navigator leads into HubSpot without Advanced Plus

Sales Navigator has no spreadsheet export of lead lists, so leads go into HubSpot one at a time, from the lead page.

By hand

  1. On the lead page (linkedin.com/sales/lead/…), note name, title and company.
  2. Open their regular LinkedIn profile from the lead page and copy that address. Sales Navigator addresses only work for Sales Navigator users, so they make a poor LinkedIn URL.
  3. Search HubSpot for the person first, then create the contact with the regular address in LinkedIn URL. If you want the Sales Navigator link too, keep it in a separate custom property.

With an extension

Some LinkedIn extensions also work on Sales Navigator lead pages. Check that yours keeps the two links apart, and that it recognises the same person whether you open their lead page or their regular profile, so you don't get two contacts.

Questions

Which Sales Navigator plan works with HubSpot?

Advanced Plus, for both of HubSpot's apps. Core and Advanced don't include CRM integrations.

Does the HubSpot Sales Navigator integration work with Sales Hub Starter or the free CRM?

No. HubSpot requires an assigned Sales Hub Professional or Enterprise seat for both the Sales Navigator app and CRM Sync.

Can I import Sales Navigator leads into HubSpot?

With CRM Sync (Advanced Plus and Sales Hub Professional or Enterprise), yes. Otherwise add them one at a time from the lead page, by hand or with an extension that works on Sales Navigator.

Why is the Sales Navigator app rated so low?

It's rated 2.0 from 372 ratings on the HubSpot Marketplace. Reviewers mostly mention the Advanced Plus requirement, losing access, and wrong matches, and the app can't create contacts.

Which LinkedIn link should go in HubSpot: the Sales Navigator one or the regular one?

The regular profile address (linkedin.com/in/…) in the LinkedIn URL property. Sales Navigator links only open for Sales Navigator users. Keep them in a separate property if you need them.
